Problems we fix for retail businesses

Six problems every Indian retail business faces with billing, stock and GST.
ERPNext fixes all of them.

Retail in India has three systems — POS for billing, Tally for accounts, Excel for stock. Month-end means reconciling all three. ERPNext eliminates this permanently.

❌ Right now
Billing in POS, accounts in Tally, stock in Excel. Month-end reconciliation takes 3 days. P&L available only on the 18th. CA frustrated every month.
✓ After ERPNext
One system — POS invoice updates stock and posts to accounts at submission. No reconciliation. Month-end closes in 4 days.
Month-end in 4 days
❌ Right now
FEFO not enforced at POS counter. Expired batches dispatched. Customer complaint. Shop credibility damaged. Regulatory notice possible for pharma.
✓ After ERPNext
FEFO configured per item — earliest-expiring batch always selected at billing automatically. Expired batch blocked from selection at POS.
FEFO at counter
❌ Right now
Multiple outlets — manager calls head office to check if an item is in stock. No live visibility across locations. Stock transferred without documentation.
✓ After ERPNext
Every outlet as a separate warehouse. MD sees live stock across all outlets in one dashboard. Inter-outlet transfers documented with accounting entry.
All outlets, one screen
❌ Right now
GST rate wrong on items — staff applies 12% when product should be 5%. GSTR-1 errors discovered at month-end. CA reconciliation takes 2 additional days every month.
✓ After ERPNext
HSN code and GST rate configured per item in the item master — applied automatically at every POS billing. Zero manual selection. Zero GST errors.
Auto GST · zero errors
❌ Right now
POS closing entry manual — cashier counts cash, matches against POS total, enters in Tally separately. Difference never explained. Theft and errors mixed up.
✓ After ERPNext
POS Closing Entry in ERPNext — expected total per payment mode (cash, UPI, card) vs actual counted. Difference flagged immediately. Accounting entry auto-posted.
Cashier accountability
❌ Right now
Slow-moving and near-expiry stock discovered only during physical count — once a year or quarter. Write-offs that were avoidable with earlier visibility.
✓ After ERPNext
Stock Ageing report — items held 30/60/90+ days flagged continuously. Expiry alert at configurable threshold. Act before expiry, not after.
Stock ageing continuous
End-to-end retail flow

From purchase to sale to GSTR-1 — every step connected in ERPNext.

Every transaction updates stock, accounts and compliance records simultaneously. No separate Tally entry. No Excel stock register. No manual GSTR-1 preparation.

ERPNext POS vs alternatives for retail

Why Indian retailers choose ERPNext over standalone POS software and Tally.

Standalone POS software handles billing but not accounts. Tally handles accounts but not POS. ERPNext does both — at ₹0 software licensing.

Common questions

Questions retail businesses ask before implementing ERPNext POS.

Can ERPNext POS work offline when internet is unavailable? +
ERPNext POS supports offline billing — invoices raised when internet is unavailable are stored in the browser's local cache and automatically synced to the server when connectivity is restored. Stock and accounts are updated on sync. The exact offline behaviour depends on the ERPNext version, browser and device configuration. We recommend testing and verifying the offline mode during UAT (User Acceptance Testing) before go-live.
Can ERPNext handle multiple GST rates across products at the same POS counter? +
Yes. Each item in ERPNext carries its own HSN code and GST rate — 0%, 5%, 12% or 18% — configured in the item master. When the item is added to a POS invoice, the correct GST rate is applied automatically. A cashier billing a mix of 5% medicines and 12% supplements in the same transaction gets the correct GST on each item without any manual selection. GSTR-1 data categorises each invoice line by HSN and GST rate for filing.
How does ERPNext manage stock across multiple retail outlets? +
Each outlet is configured as a separate warehouse in ERPNext. Each outlet has its own POS Profile — price list, tax template, payment modes, cashier permissions and cost centre. Stock is tracked independently per outlet. Inter-outlet transfers are Material Transfer Stock Entries — documented, traceable and posted to accounts. Management sees consolidated stock across all outlets in one report. No additional ERPNext licence per outlet.
How does ERPNext connect billing, stock and accounts — what is perpetual inventory? +
Perpetual inventory means every stock transaction posts to the accounting ledger simultaneously. When a POS invoice is submitted, ERPNext: (1) decreases stock by the sold quantity, (2) posts revenue to the income account, (3) posts COGS to the cost of goods sold account, (4) posts GST liability to the GST output account — all in the same transaction. No separate Tally entry is needed. Stock value always matches the accounts. Month-end reconciliation reduces to 4 days.
What does ERPNext POS implementation cost for a retail business? +
PS Digitise Phase 1 for a single-outlet retail business from ₹1,75,000. Multi-outlet setup (2–4 outlets) from ₹2,25,000. ERPNext software: ₹0 licensing forever. Frappe Cloud hosting from ₹410/month. Tally migration included free. All prices confirmed in writing before we start — no hourly billing, no scope-creep charges.
Can ERPNext generate GSTR-1 directly from POS invoices? +
Yes. GSTR-1 data in ERPNext is generated directly from Sales Invoices and POS Invoices — no separate data entry or export-import required. B2B invoices (customer GSTIN entered at billing) are categorised separately from B2CS (walk-in customer). HSN summary is auto-computed. The GSTR-1 JSON file is exported from ERPNext and uploaded to the GST portal directly. For businesses with AATO above ₹5 crore, e-Invoice IRN is auto-generated at invoice submission.
